W3ME Payment Authority

Document version: 1.1 · Version date: 28 October 2026

What you are agreeing to

You are nominating a payment method, and authorising W3ME to debit it for network trade statements you have not paid by their due date. Platform bills are not covered by this authority. They are charged to your card when issued, under clause 7.3 of the Master Agreement.

That is the whole authority. The rest of this document sets its limits.

A payment method on file is a condition of the platform

Every W3ME workspace must have a valid payment method on file, including on the Owner Driver tier (as defined in the Master Agreement). You must keep one on file for as long as your account is open.

The methods

You may nominate either:

  • a card: held by Stripe, our payment provider, entered on Stripe’s own page. We never see or store your full card number; or

  • a bank direct debit authority: established over your bank account through Stripe, where your regional Schedule offers one.

The methods available in your region are set out in your regional Schedule. In Australia it is a card, added at signup; bank direct debit is not offered at present (Schedule AU clause 3.1b).

Nothing is charged when you set the method up. Where a card is nominated, Stripe places a $0 authorisation to confirm it is valid. No amount is taken, held or reserved.

How network trade statements are collected

We issue a statement. If it is not paid by its due date, we debit it.

  1. We issue a network trade statement. It states the amount, the tax, what it is for, the due date, and how to pay by other means.

  2. You can pay it any way we accept, bank transfer included, at any time up to the due date.

  3. If it is unpaid at its due date, we debit your nominated method for the amount plus the tax on it.

The statement is the notice. We do not send a separate warning before debiting. You have from the date of the statement until its due date to pay it another way, or to dispute it.

Pay before the due date and nothing is ever debited.

What can be debited

We may debit an amount only where all of the following are true:

  1. It is on a network trade statement we have issued to you; and

  2. That invoice has passed its due date and remains unpaid; and

  3. The amount is not in dispute; and

  4. The amount is not on the excluded list below.

We debit the invoiced amount plus the tax on it, and nothing else.

“A network trade statement” means a statement W3ME issues to you, which happens only on trades the network found: where we bought the job from one operator and sold it to the other, so the money is genuinely between you and us. A direct trade with an operator you had already linked to produces no statement from us at all: the two of you invoice and pay each other, we never collect, hold or debit that money, and this authority does not reach it. See Network Trading Terms clauses 3.2 and 6.0.

What cannot be debited

We will not debit:

  • any amount that is not on an issued invoice;

  • any amount that is not yet due;

  • any amount in dispute, see below;

  • interest, on any amount, however overdue;

  • collection costs, recovery costs or legal costs;

  • late fees or penalties;

  • a deposit, bond, security holding or pre-authorisation;

  • anything at all before an invoice exists for it.

These exclusions apply even where the amount appears on an invoice. Interest and collection costs may still be charged where the agreement permits, and an invoice for them is payable, but they are never collected by automatic debit, however long they remain outstanding. We ask you to pay them.

Disputed amounts

An amount properly in dispute is not debited while the dispute is open.

However you were invoiced, the door is the same: email [email protected], setting out what is wrong. One address, both kinds of invoice.

  • A platform bill is charged when issued and is outside this authority. You dispute it the same way, by email, and if the dispute succeeds we refund or credit it (Master Agreement clause 7.7).

  • A network trade statement: email us within the window clause 8 of the Network Trading Terms sets. That clause is the machinery behind the door: we put the claim to the other operator and run its clocks for you. You do not have to work it yourself.

If part of an invoice is disputed, the undisputed part remains due and may be debited.

Before the due date, or after the debit: both are real disputes

  • Raise it before the due date and nothing is debited. The amount is not overdue while the dispute is open, so the debit does not run.

  • Raise it after the money has already gone, and it is still a valid dispute. For a network trade statement you have 8 weeks from the date of the statement (Network Trading Terms clause 8.2), and a debit taken in the meantime does not shorten that window or waive anything. If the dispute succeeds we put it right, by refund, credit note or an adjustment, whichever suits the position, and we tell you which.

Paying, or being debited, is not agreement. Neither is an admission that the amount was correct.

After a debit

  • The debit appears against the invoice it paid, in your workspace.

  • If a debit should not have been taken, we refund it in full and promptly. You will not have to ask twice.

Your control over the method

  • View, replace or update your method at any time in Settings.

  • Switch between a card and bank direct debit at any time, where your Schedule offers both. In Australia, only a card is offered at present, see Schedule AU clause 3.

  • Cancel a direct debit authority through your bank, or by emailing us. The direct debit service agreement you accepted when you set the authority up sets out your rights in relation to that arrangement.

  • Withdraw this authority by emailing [email protected]. Because a valid payment method is a condition of the platform, withdrawing it without nominating a replacement means new work in your workspace pauses under Master Agreement clause 7.10 once a bill falls due with nothing to charge. You keep access to your records, jobs already under way finish, your drivers finish their day, and you can always export your data. Everything reopens automatically the moment a valid method is on file and the balance clears. We will tell you before it takes effect.

Withdrawing this authority does not cancel anything you already owe. It only stops us collecting it this way.

If your method fails or expires, we will ask you to update it, and we retry the debit over the following one week, with a prominent warning in your workspace naming the amount and the consequence. A failed debit does not extinguish the debt, and it is not a breach, see Master Agreement clause 7.10, which sets out what happens only if the amount is still unpaid at the end of that week.

Other terms

  • Tax. Invoiced amounts are exclusive of tax. Where we debit, we debit the invoiced amount plus the tax on it, and the invoice it paid shows the split. Your regional Schedule sets the tax treatment.

  • Card handling. Card details are held by Stripe, who are PCI-DSS compliant. Our Privacy Policy and Stripe’s own terms cover what Stripe does with them.

  • Versioning. This document carries its own version number and is accepted separately from the other documents in the W3ME legal pack. If we change it, we will ask you to accept the new version. We will not treat an earlier acceptance as covering new wording.

  • Consumer protection. Nothing here limits your rights under the consumer protection law identified in your regional Schedule, or your right to dispute a transaction with your bank or card issuer.

  • Contracting entity. This authority is given to the W3ME entity for your region, identified in clause 1.3 of the Master Agreement.

By continuing, you nominate this payment method and authorise W3ME to debit it for amounts on network trade statements that are due, unpaid and not in dispute, and for nothing else.
